Job Title – Shiriki House Administration Officer

Sustainet Group Limited (SGL) offers development consulting services to facilitate effective agricultural market-oriented and private sector-led development to clients including governments, international development organisations and agro-businesses. As part of our compliance and operational support services (COSS) business, we provide logistic, event management, HR, finance, legal and other management ‘outsourcing’ services to international development organisations and agro-businesses interested in implementing projects and programmes in the region. We also operate the Shiriki House Office Community to offer an effective and collaborative co-working environment for development companies, projects and NGOs sharing our desire to foster commercially viable, environmentally resilient and socially inclusive rural development. We are headquartered in Nairobi, Kenya and operate a Country Office in Kampala, Uganda.

SGL is currently seeking an ideal candidate to fill the position of an Administration Officer for the Shirki House Office Community. You will have a minimum of 5 years of work experience in an administrative role. You will be assertive but friendly, well-groomed, with a good command of English and articulation with key skills in communication, customer service, sales, and maintaining relationships with clients. You possess a relevant degree.

Job Purpose: The administration officer will be our first point of contact and the face of the company for all our customers, visitors, and vendors either in person, online, or via telephone. He/she will be responsible for creating a lasting first impression for the Shiriki house community brand.

Key Responsibilities:

  • Ensure the smooth flow of people through space, provide administrative support for space, and ensure that all responsibilities are completed accurately and delivered with high quality and in a timely manner.
  • Deliver exceptional member experience by responding to e-mails and answering phone calls.
  • Appreciate the Shiriki house community vision and mission and articulate it to our customers as well as communicating our values.
  • Respond to and handle disputes and escalations with a sense of urgency and importance.
  • Collaborate with the other members of the Shiriki house community including our service providers to effectively resolve high priority member issues.
  • Professionally take our potential community members through the Shiriki House community MEMBER experience, detailing the services and benefits
  • Stay informed of all site and policy changes as they occur and be able to articulate them accurately to SH members.
  • Be pro-active about SH member needs to address new challenges and opportunities and solve problems for members daily.
  • Friendly receiving visitors by greeting, welcoming, directing, and announcing them to the appropriate person/people.
  • In-depth knowledge of our member’s projects in order to understand how best to add value to them.
  • Work with marketing and senior management to organize community events that bring members together.
  • Operate office management software to make office space bookings and appointments.
  • Answer incoming phone calls and provide callers with information about the company when required.
  • Receive and organize mail and office deliveries
  • Organize, package and send out/courier mail
  • Maintain office security by following office procedures, monitoring access control, CCTV and visitor log.
  • Maintain office meeting/appointment calendar
  • Perform administrative duties such as filing and management of SH documents
  • Coordinate office cleaning and other functions as required.
  • Maintain office supplies such as stationary, and services such as IT support
  • SH tenancy/lease contract preparation/management
  • Management of SH supply of consumables and stock
  • Efficient management of common utilities i.e Board, Skype Rooms
  • Handle office petty cash
