SUMMARY DESCRIPTION
The Ford Foundation New Delhi office is hiring a Program Assistant. This crucial role provides strategic and administrative support essential for effective grant-making, documentation, and facilitates both internal and external engagement to ensure smooth program operations and impact.
The Program Assistant works within a programmatic team led by the Regional Director, which includes Program Officers (POs), Program Associate and Grants Manager. Program Assistants provide key support to three (3) POs who serve as grant-makers for the Foundation. The Program Assistant manages multiple activities for the POs, including meetings and grants administration. Program Assistants help manage the various workflows of program staff and the program team as a whole.
RESPONSIBILITIES
Grant-Related Administration:

Support the development of grant recommendations through editing and information compilation

Assist with grant-related inquiries, coordinating responses, and maintain correspondence control records

Request administrative and support information relative to grantee proposals and grant actions

Plan and coordinate logistics for site visits and major grantee meetings; preparing expense reports

Manage calendar appointments and group meetings
Communications and Research:
Workflow and Administration:

Work alongside the NDO Manager and Grants Manager, who supports the Regional Director and team, serving as a member of an administrative support group for program leaders on the team, backing each other up and collaborating, as needed

Support document production, including preparing and editing reports, memoranda, or other materials

Assist POs in responding to both internal and external requests for information or other documentation

Assist with POs’ calendar of appointments including scheduling meetings and follow up

Assist with POs’ work-related travel; assist with developing travel plans and logistical arrangements, including processing expense reports via Concur

Assist in the onboarding process for new hires/consultants
QUALIFICATIONS

Ability to prioritize and handle multiple tasks

Excellent oral and written communications skills with high attention to detail and accuracy

Detailed knowledge of and demonstrated proficiency in the use of Microsoft Office and Google applications, including Microsoft Outlook, Word, Excel, PowerPoint and Google Drive, Sheets, Docs, Slides

Detailed knowledge of and demonstrated proficiency in using information management systems

Possess a learning and growth attitude and open to constructive feedback

Baccalaureate degree plus a minimum of 3-4 plus years of work experience or equivalent combination of education and work experience

LOCATION: This position is based in the foundation’s India office. We operate in a hybrid model and require staff to be in the office three days per week.
