Job Description

Established in 1951, IOM is the leading inter-governmental organization in the field of migration and works closely with governmental, intergovernmental and non-governmental partners. IOM is dedicated to promoting humane and orderly migration for the benefit of all. It does so by providing services and advice to governments and migrants.

Operational in Pakistan since 198, IOM has been implementing variety of programmes related to humanitarian assistance in response to disasters and crisis, resettlement movement and operations, migration management and migration health.

Through this Call for CVs IOM Pakistan is seeking qualified candidates that will support its growing operations in Pakistan in role of programme/project assistant.

Under the overall supervision of the Senior Programme Manager and direct supervision of the relevant Programme/Project Coordinator, and in close coordination with relevant colleagues, the programme/project assistant will support coordination and effective/efficient implementation of respective programme in Pakistan.

RESPONSIBILITIES AND ACCOUNTABILITIES:

  • Support implementation of related programme through variety of tasks outlined below, and which will be further specified based on specific programme/project:
  • Provide administrative and logistical support to related programme/project in support of efficient and effective implementation, with full respect for IOM rules and regulations, donor’s requirements and programme/project plans
  • Keep a record and organize the programme/project documents supporting the programme/project implementation (i.e. reports, correspondence, notes for file, etc.).
  • Provide support for data collection processes, field visits, needs assessments and analysis and similar activities.
  • Maintain contact with relevant partners.
  • Assist the compilation of documents or regular updates including but not limited to situation reports, briefing and background information required by donors and other entities.
  • Support adequate levels of information sharing between internal units, programme/project partners, IOM and other stakeholder
  • Stay up to date regarding assessments and reports produced by other agencies and organizations and extract relevant and important information for reference and use by the programme/project.
  • Assist in preparation of budget and coordinating logistical arrangements for the programme/project events.
  • Provide support for preparation of different reports and briefing documents, and support programme/project development efforts through relevant inputs.
  • Support development and implementation of effective tools to collect and share experiences and lessons learned.
  • In close coordination with the supervisor and other colleagues, assist in establishing and maintaining good working relationships with relevant partners, government offices, UN agencies, national and international NGOs and civil society organizations.
  • Provide assistance in the recruitment of staff for the programme/project.
  • Follow up with field teams and finance unit on the preparation and liquidation of petty cash/cash advance according to IOM procedures and in a timely manner.
  • Perform other duties as may be assigned by the supervisor.

REQUIRED QUALIFICATIONS AND EXPERIENCE: EDUCATION:

  • University or bachelor’s degree in International Relations, Business Administration, Information Management, Social Science, Migration studies, Demographics and population studies, or a related field from an accredited academic institution with two years of relevant professional experience; or
  • School diploma with four years of relevant professional experience.

EXPERIENCE:

  • At least two years of relevant experience in UN Agencies or international/national NGO and/or government programme.
  • Experience of working in humanitarian situations highly desirable.
  • Proficient in Microsoft Office (word, publisher, excel and power point).
  • Understanding of gender considerations.
  • Excellent communication and interpersonal skills.
  • Ability to work under pressure in difficult conditions while maintaining security awareness.
  • Flexibility and focus on processes and their improvements.
  • Ability to work effectively and harmoniously with colleagues from varied cultures and professional backgrounds.
  • Stamina, determination, commitment and adaptability in the workplace are required.

LANGUAGES:Required:

  • English and Urdu (Fluent)

Advantageous:

  • Working knowledge of other regional languages would be desirable (Pashto, Punjabi, Balochi etc.)
