Based in Paris, Business at OECD (BIAC) is the officially recognised business voice to the OECD conveying business perspectives and expertise to policymakers on a broad range of global economic governance and policy issues. Our members are the leading business and employers organisations in OECD countries. We also include business organisations in selected non-OECD member countries, as well as international sectoral business organisations.

Business at OECD is looking for an Administrative Assistant who will carry out a wide range of logistical and administrative tasks. S/he will assist Policy Managers and Directors in the administration of their policy work. S/he will report to the Business at OECD Secretary General.

Main Responsibilities

Administrative Assistance and front office management

  • Filter telephone calls, answer enquiries (phone, e-mail, in person) in English and French.
  • Welcome and assist visitors.
  • Website and IT support
  • Assist with special events and project management

Policy groups assistance

  • Prepare registration forms and lists of participants for meetings of the Business at OECD policy groups
  • Make reservations for subscription lunches, dinners, etc.
  • Upload documents on the Business at OECD website and create dedicated webpages for meetings of the Business at OECD groups.
  • Provide logistic support at policy groups’ meetings, dinners, etc.

Other duties

  • Replace the other Assistants when necessary, so as to ensure the smooth running of the office.
  • Carry out other related tasks as required.
  • Assist with cross-cutting issues, including communications, IT support and member relations.

Ideal Candidate Profile

Academic Background

  • Good secondary level of education, preferably post-secondary.

    Professional Background

  • Proven experience as an administrative assistant, preferably in an international business environment.
  • Good ability to assimilate new rules and experience in an international environment.

Tools

  • Excellent command of Microsoft and other programmes (e.g., Word, Excel, PowerPoint, Outlook, WordPress) and the ability to adapt to new technologies

Communication

  • Strong attention to detail to support branding and communication.
  • Excellent IT skills, including website management.
  • Ability to organise interactive social media.
  • Ability to follow a steep learning curve.

Languages

  • Fluency in both OECD official languages (English and French) with a third language as a plus.

  • For this role, the following competencies would be particularly important: Achievement focus, Analytical thinking, Drafting skills, Flexible thinking, Managing resources, Problem Solving, Teamwork, Client focus, Diplomatic sensitivity and Organisational knowledge.
  • Ability to work under pressure, set priorities and meet tight deadlines

Contract Duration

  • Two year fixed-term appointment, with the possibility of renewal, starting preferably in February 2020 .

What the OECD offers

  • Monthly base salary starting from 3 020.61 EUR, plus allowances based on eligibility, exempt of French income tax.

Please note that the appointment may be made at a lower grade based on the qualifications and professional experience of the selected applicant
