Context
The Office of Legal Affairs (LEG) provides advice and input to the Director General (DG) on all legal issues facing the Organization, and their related policy implications. LEG ensures that the functioning of the Organization is within its mandate and in accordance with international law. LEG provides legal support on all activities of the Organization, thereby contributing to the achievement of all aspects of the IOM strategy. Within LEG, LEGHR ( Human Resources Legal Issues ) is responsible for all human resources-related legal issues.
Under the overall supervision of the Legal Counsel and direct supervision of the Head, LEGHR Division, and in close coordination with the Senior Legal Assistant and other staff members working in LEG, the successful candidate will provide administrative support services and assistance to the Legal Counsel, Senior Legal Officers and other staff members working in LEG Headquarters.
Core Functions / Responsibilities
Assist in drafting, editing, proofreading and finalizing official note verbals, instructions, correspondence, legal and other documents for signature and approval.Receive all incoming requests and queries to LEGHR from IOM colleagues and external parties, including checking LEGHR inbox and receiving telephone calls, and refer to the relevant Legal Officer or handle by him/herself as appropriate.Assist in maintaining the electronic and hard copy files and records of the Office. In particular, assist in improving and maintaining the existing filing system, for all cases reviewed by the Office, including formal complaints and cases in the misconduct tracking system, and ensure that these remain confidential.Support LEGHR with the processing of complaints and submissions, within the specified deadlines, for the internal justice mechanisms and the ILOAT.Conduct basic research using available resources and compile relevant background materials for further research, meetings, training etc., and prepare relevant files.Assist in maintaining LEG s intranet page, as well as in uploading and publishing relevant Instructions, Bulletins, Manuals and agreements.Assist with the organization of the following: meetings, workshops and seminars, including the preparation/compilation of documents and briefing files as well as collecting documentation from various sources.Assist in providing other general administrative support to other staff members of LEG in Headquarters, including preparation and follow-up actions related to meetings and travel (travel authorizations, flight and hotel reservations, travel claims), monitoring departmental timekeeping records, organizing conference calls, participating in meetings and preparing minutes.Assist the Senior Legal Assistant with administrative matters (e.g. payment requests, recruitment of consultants, temporary staff and/or interns, etc.) as needed in LEG.Perform such other duties as may be assigned.
Required Qualifications and Experience
Education
University degree in Law, Business Administration, Political or Social Science or a related field from an accredited academic institution with three years of relevant experience; or,Completed High school / Secondary school education with five years of relevant experience.

Experience
Demonstrated experience in paralegal and/or administrative support in a legal department of an intergovernmental organization or a law firm would be a strong advantage;Proven experience of dealing with deadlines and confidential information;Experience in research and the preparation of legal documents is desirable; and,Experience dealing with high-level counterparts and diplomatic missions would be an advantage.
Skills
Proficiency in electronic research of documents and legal materials;Advanced knowledge of computer programmes (e.g. MS Office applications such as Word, Excel, SharePoint, etc.) and filing systems;Editing skills in English, French and/or Spanish would be an advantage; and,English-to-French or English-to-Spanish translation skills would be an advantage.
Languages
IOM s official languages are English, French and Spanish. For this position, fluency in English and working knowledge of French or Spanish is required (oral and written), with working knowledge of the other an advantage.
