1. Organizational Context

  • Organizational Setting

    The post is located in the Operations Service of the Hague Registry, Brands and Designs Sector. The Operations Service is responsible for receiving, processing and registering international design applications and other transactions related to the administration of the various Acts of the Hague Agreement.

  • Purpose Statement

    The incumbent, as Coordinator of the Operations Service, is responsible for managing the work of the examination team, ensuring timely, accurate and quality functional support to users of the Hague System on issues related to the registration and management of international designs.

  • Reporting Lines

    The incumbent works under the supervision of the Head of the Operations Service.

  • Work Relations

    The incumbent liaises with Member Offices, users, legal officers, IT developers, financial officers and translators on operational design, development, deployment and support issues for the Hague Registry.

2. Duties and Responsibilities

The incumbent will perform the following principal duties:

  • Manage the work of examination and supporting team, prepare workplans and ensure effective and equitable distribution of assignments to staff; ensure staff works in accordance with standard operating procedures;
  • Supervise staff; monitor and provide regular feedback on overall performance; conduct performance evaluation exercises and follow up on recommendations/issues identified; propose training for staff members to enhance technical skills, language skills and competencies;
  • Advice and mentor team members on the handling of complex and contentious transaction issues that require a thorough understanding of the Hague treaty, Common Regulations and Administrative Instructions;
  • Analyze business requests and work closely on the implementation of IT solutions with a view to contributing to the improvement of the Hague Registry’s operational services to users, particularly those related to the geographical expansion of the Hague System and the accession of countries with examining Offices;
  • Review business processes and IT tools, assess changes required and make proposals for the functionality and streamlining of operational processes to support daily activities; analyze expected business benefits, and coordinate approved changes with concerned work units;
  • Ensure optimum service levels to users in terms of measured quality, efficiency and timeliness for processing international design enquiries, including through ongoing service improvement plans;
  • Conduct research on specific topics as assigned, evaluate data, present results and prepare reports for management; and
  • Perform other related tasks as required.

3. Requirements



First-level university degree in business administration, industrial design, law, engineering, science, or humanities.



At least six years of relevant professional experience in the area of industrial designs, including in an Intellectual Property Office or comparable organization. An advanced university degree in a relevant discipline may be accepted in lieu of two years of experience.


Supervisory experience.



Excellent written and spoken knowledge of English.


Knowledge of other official UN languages or of a major user of the Hague System.

5. Inform ation

Mobility: WIPO staff members are international civil servants subject to the authority of the Director General and may be assigned to any activities, office or duty station of the Organization. Accordingly, the selected candidate may be required to move from time to time to new functions and/or to another duty station.

Annual salary:

Total annual salary consists of a net annual salary (net of taxes and before medical insurance and pension fund deductions) in US dollars and a post adjustment. Please note that this estimate is for information only. The post adjustment multiplier (cost of living allowance) is variable and subject to change (increase or decrease) without notice. The figures quoted below are based on the November 2019 rate of 76.7%


Annual salary: $60,233

Post adjustment: $46,199

Salaries and allowances are paid in Swiss francs at the official rate of exchange of the United Nations.
